Exceptional Variation of Assessment (EVA)

Exceptional variation of assessment (EVA) provides assessment adjustments if your studies are adversely affected by illness or other significant circumstances beyond your control.

What EVA can offer

EVA adjustments vary. You may be:

  • granted an extension for an assignment
  • granted alternative examination arrangements or a deferred examination
  • permitted an exemption or granted an alternate opportunity for an assessment item
  • permitted to withdraw from your unit without academic penalty.

You may be able to apply for EVA if you:

  • are unable to submit an assessment (including essays, assignments and dissertations) by the due date
  • are unable to sit your exam on the scheduled day, time or location
  • are unable to attend or complete a timed assessment (including tests, laboratories, mid-semester and final exams, and presentations)
  • need to withdraw from your unit after the academic withdrawal date.

What EVA does not cover

Some requests are managed through other processes:

  • Assessment and exam adjustments for ongoing health conditions and/or disability are managed through our accessibility support services.
  • Supplementary assessments are automatically granted to eligible students.
  • Tuition fee remissions are managed through a separate application process. Visit the Administrative Services page for more information.

Am I eligible?

Eligibility is assessed in accordance with the EVA Policy. We consider:

  1. your circumstances and how they affected your studies
  2. whether you submitted your EVA application within the required timeframe
  3. whether you provided appropriate supporting evidence.

Your circumstances

Eligible circumstances are outlined in the EVA Policy.

Examples of circumstances that may be eligible include:

  • a short-term health condition or worsening of an ongoing condition
  • hardship, trauma or bereavement
  • unavoidable commitments
  • elite sporting/performance commitments
  • military reserve service, active defence service obligations, emergency service duties, or other government-mandated civic responsibilities
  • the birth of your own child or your partner’s child
  • technical issues during a timed online exam/test or equivalent.

Examples of ineligible circumstances include:

  • misreading or misunderstanding a unit outline, exam timetable or assessment due date
  • holidays or travel
  • social events
  • work, volunteer, or internship commitments organised independently by the student
  • study load (including commencing a unit late or overloading)
  • computer/IT issues, unless experienced during an online timed assessment.

EVA application deadlines

The general deadline for EVA applications is 3 calendar days after your assessment's due date.

If you miss the EVA deadline due to exceptional circumstances, your EVA application should include evidence explaining why you could not meet the deadline.

Before undertaking an assessment
Apply before the due date if you know in advance that you will be affected.Refer to Appendix 3 of the University Policy on Assessment for deadlines for requesting EVA for alternate exam arrangements due to elite sporting commitments or religious observations ahead of time.
During a timed assessment
If you feel unwell or are impacted by exceptional circumstances during a timed assessment (such as a test or exam):
  • stop working on the assessment,
  • tell a staff member (such as an exam supervisor) immediately, before the end of the timed assessment, and
  • apply for EVA within 3 calendar days after the date of the assessment. 
After an assessment
While the general application deadline is 3 calendar days after the due date of the assessment, if you sat the entirety of a timed assessment (such as a test or exam), you will generally not be eligible to apply for EVA. Exceptions may be considered if you were prevented from making an informed decision.
Withdrawal from unit(s)
Submit your EVA application no later than the end of the assessment period during the teaching period (semester/trimester) in which the unit is being taught.

The documents you need depend on your situation. Examples of supporting documents can be found in the EVA Policy

Document requirements

  • Your supporting documents must include the relevant dates and the period during which you were affected. Sensitive details about your personal situation are not required.
  • Your application and supporting documents must show that your circumstances affected you on or before the assessment due date.
  • Sensitive images are not accepted.

University staff may contact the signatory or organisation on your documents to verify information. Submitting a falsified document to the University is serious misconduct and disciplinary action may be taken against you for doing so.

Applications based on non-medical grounds
If you’re applying for EVA based on non-medical grounds, please provide relevant documents (refer to the EVA Policy for examples) or a UWA India EVA Declaration Form [PDF 200KB] completed by a relevant authorised professional.
Applications based on medical grounds
If you’re applying for EVA based on medical grounds with an impact of:
  • 1 or 2 days: a medical certificate is only required if EVA is being requested for a timed assessment such as a test or exam.
  • 3 days or more: a medical certificate is required.
  • 7 days or more (either in one application, or multiple applications totalling 7 days): a medical certificate and a UWA India EVA Verification Form [PDF 308KB] completed by a medical practitioner are required.

How to apply

  1. Gather your supporting documents.
  2. Complete the online EVA form via the Services menu in the MyCamu Student Portal and upload your supporting documents.
  3. Submit your application.

We aim to provide an outcome within 3 university working days after you submit your completed application and supporting documents.

Frequently asked questions

Can I submit my assessment late?
You should submit your assessment on the due date unless you have an approved adjustment.

Submission within 48 hours after the due date

If you submit your assessment within 48 hours of the due date, it will be marked late, but no penalty is applied. This is called the two-day penalty waiver.

The penalty waiver does not apply to timed assessments such as tests, laboratories, and examinations.

Submission 48 hours or more after the due date
  • A 15% deduction is applied on Day 3 (after 48 hours).
  • An additional 5% per day is deducted up to Day 7.
  • Work submitted more than 7 days after the due date is not accepted.
Extensions and EVA
  • If you’re applying for EVA, your application and supporting documents must cover you on or before the due date, not from 48 hours after the deadline.
  • If you’re granted EVA, late penalties apply immediately after the extended due date. A two-day waiver does not apply to extensions.
How do I apply for alternate exam arrangements if I can’t sit my exam on the scheduled day/time/location due to religious beliefs or unavoidable elite sporting commitments?
Complete an online EVA application form. Deadlines are different depending on whether you are applying due to religious or elite sporting reasons. Refer to Appendix 3 of the University Policy on Assessment for deadlines.
What should I do if I fall ill during my exam?
If you become ill during your exam and are unable to continue, you must notify the exam supervisor immediately. Consult a medical practitioner and obtain a medical certificate showing you were ill on the day of the exam, and apply for EVA within 3 calendar days after the exam date.Please be aware that if you sat the entire exam, you will generally not be eligible to be granted a deferred exam through EVA.
What happens if I missed my exam?
If you miss your exam due to exceptional circumstances, you can apply for a deferred exam using the EVA application form via the Services menu in the MyCamu Student Portal.
What happens if I missed my deferred exam?
You can apply to withdraw from the unit if you were affected by exceptional circumstances.
What sort of supporting evidence and document format will I require?
Documents must be in XLSX, PNG, JPG, JPEG, PDF, DOC or DOCX format and no larger than 1MB. 
Documents need to include the date and duration you were impacted for. Sensitive details about your personal situation are not required.

When do I need to use an EVA declaration form?
If you are applying on non-medical grounds and are unsure what evidence to provide, you can submit an UWA India EVA Declaration Form [PDF 200KB] signed by an authorised professional.
When do I need to use an EVA verification form?
If you are applying on medical grounds and have been impacted for 7 days or more (either in one application, or multiple applications adding up to 7 days), you must include an UWA India EVA Verification Form [PDF 308KB] in addition to your supporting documents.
Can I submit an incomplete EVA application?
Incomplete applications will not be accepted.
Can I start an EVA application and come back to it later?
No, you cannot save a partially completed application form. Please ensure that you have a reliable internet connection before starting your application.
What if I don’t have supporting documents by the deadline?
If you cannot meet the submission deadline, you will need to provide evidence explaining why you were unable to submit on time. If you’re unsure, contact the Student Experience Team via student-experience@india.uwa.edu.au as soon as possible.
